As your Adobe deployment grows, managing users one by one gets slow. User groups let you license a whole team in one step, and admin roles let you share the workload safely with colleagues.

User groups

A user group is a named list of users, for example Marketing, Design Studio, or Year 12 Media Students. When you assign a product profile to a group, every member gets that licence. Anyone added to the group later gets it automatically, and anyone removed loses it.

Create a user group

Open User groups

Go to Users and select User groups in the left-hand panel.

Create the group

Select New user group. Enter a clear name and, optionally, a description.

Save

Select Save.

Add members to a group

  1. Go to Users > User groups and select the group.
  2. Select Add users.
  3. Type the names or email addresses of the users you want to add, then select Save.
You can also add users to groups in bulk using the User Groups column in a CSV upload.

Assign a product to a group

  1. Go to Users > User groups and select the group.
  2. Open the Assigned product profiles (or Products) tab and select Assign profile.
  3. Choose the product and product profile, then select Save.
Name your groups after real teams or departments, and license through groups rather than individuals wherever you can. Onboarding a new staff member then becomes one step: add them to the right group.
Each member of a group uses one licence. Make sure you have enough free licences for everyone in the group. If you don’t, some members won’t receive access. Contact WOHO to add seats.

Admin roles

Admin roles decide who can do what in the Admin Console. Give each person only the access they need. Role availability varies by plan. Teams plans have a simpler set of roles than Enterprise plans.

Assign an admin role

Open the user

Go to Users > Users and select the person. They must already be a user in your organisation. Add them first if needed.

Edit admin rights

In the Admin roles section, select More options (…) > Edit admin rights.

Choose a role

Select the role. For Product, Product Profile, or User Group Administrator, also choose which products, profiles, or groups they can manage.

Save

Select Save. The new admin receives an email invitation to the Admin Console.
To remove an admin role, follow the same steps and remove the role in Edit admin rights. The person stays a user with their licences unchanged.
Always keep at least two System Administrators. If your only administrator leaves or loses access to their account, regaining control of your Admin Console can take time. WOHO can help, but prevention is much faster.
