When someone leaves your organisation, promptly remove their access. This frees their licence for someone else and keeps company files under your control. This guide explains the difference between removing a licence and removing a user, and how to keep their files.

Remove a licence or remove the user?

Remove a product licence from a user

Find the user

Go to Users > Users and select the user’s name.

Remove the product

In the Products section, select the Delete icon next to the product you want to take away.

Confirm

Confirm the change. The user receives an email notification, and the licence is available to reassign straight away.

Remove a user from your organisation

Select the user

Go to Users > Users and tick the checkbox next to the user, or several users.

Choose Remove users

Select Remove users (or More options (…) > Remove users).

Decide what happens to their files

If your organisation uses Adobe business storage, you’ll be asked what to do with the user’s cloud files. See the options below.

Confirm

Select Remove users. Their access is revoked, and their licences return to your pool.

What happens to their files

If the user stored files in your organisation’s Adobe cloud storage, the Admin Console asks you to choose one of the following:
The files are kept in the Storage tab under Inactive users until you transfer them or they are deleted after the retention period. Use this if you aren’t yet sure who should receive the files.
The files are deleted and cannot be recovered. Only use this if you’re certain nothing needs to be kept.
Permanent deletion can’t be undone, not even by Adobe or WOHO. If in doubt, choose Transfer content later and decide afterwards.
Users who sign in with a personal Adobe ID own their own files, so these may not be transferable. This is one reason we recommend setting up your organisation with Business IDs, Enterprise IDs, or Federated IDs. See Identity and single sign-on.

Offboarding checklist

Use this checklist whenever someone leaves:
  • Ask the person to save or hand over any local files that aren’t in cloud storage.
  • Remove the user in the Admin Console and transfer their cloud content to a colleague.
  • If they were an administrator, check that at least one other person still has the System Administrator role.
  • Reassign the freed licence to a new starter, or note it for your next renewal review with WOHO.
  • If your organisation uses single sign-on, disable the account in your identity provider as well, such as Microsoft Entra ID or Google Workspace.
